Teams and volunteers

Rotas that almost organise themselves

Koinario's teams area organises the church's volunteers: who serves in each position, on which date, and how a gap gets covered when someone can't make it.

Every ministry with its teams and positions, every volunteer with their shifts in their pocket. Schedule whole weeks at once, respect everyone's time off and sort out replacements without a single message chain.

Teams and shifts

Organise volunteers by team and position, assign shifts for every event and let each person accept or decline from their phone. Leaders see at a glance what's still uncovered.

  • Positions and teams by ministry
  • Accept or decline with one tap
  • Every event's coverage at a glance

Scheduling matrix

Every event and position in a single grid. Auto-schedule in one click: Koinario proposes who serves, taking time off, preferences and fair rotation into account, and nobody is notified until you confirm.

  • Auto-scheduling with a proposal you can review
  • A single notification per person
  • A report for every team

Availability and time off

Each volunteer marks the dates they can't make and how often they want to serve. Scheduling respects it, so nobody has to remember to tell anyone.

  • Blockout dates
  • Serving preferences
  • Visible when scheduling

Replacements without the chaos

Whoever can't make it asks for a replacement or suggests someone; everyone else sees the open shifts and takes them with one tap, with the leader's approval when needed.

  • Board of open shifts
  • Substitutions with approval
  • Notifies whoever covers and whoever leads

Frequently asked questions

What people usually ask us

  • How does each volunteer know when they are serving?

Each volunteer receives the assignment in the app with a phone notification and accepts or declines it with one tap. All their assignments show up in their agenda next to the church’s events, and leaders can see at a glance which positions are still unfilled for each event.

  • What does auto-scheduling do?

Auto-scheduling proposes who serves in each position, taking blockouts, serving preferences and recent load into account, so the same people are not always on. You review and adjust the proposal in the matrix, and nobody is notified until you confirm; then each person gets a single notification.

  • What happens if someone can't make it?

Whoever cannot make it asks for a replacement or suggests someone else from the app. The slot appears on the board of open shifts, another volunteer can take it with one tap and, when needed, the leader approves the change. Both the person covering and the team leader are notified.

  • Can volunteers mark when they are unavailable?

Yes. Each volunteer marks the dates when they cannot serve and how often they would like to serve. Scheduling takes those blockouts and preferences into account, and whoever organises the rota sees them while assigning, so nobody has to remember to warn in advance or repeat it every month.
